Stop TB Partnership Indonesia is looking for a short-term consultant to assist Stop TB Partnership Indonesia (STPI) finance and admin team. 

Details of Position

Title: Project Administration Assistant (short term)

Reports to: Sr. Finance & Administration - AIDP Project/ Manager Finance & Administration STPI

Contract type: Full time

Period: 6 Month (contract)

Duty Station: Jakarta

Qualification

  • A University degree in any major.

  • Proactive with ability to learn quickly, follow direction, report back on the need, and identify the gap.

  • Proficiency with MS Office software required (Outlook, Word, Excel, PowerPoint).

  • Min. 1 year of relevant experience, having experiences at non-governmental organization (NGO) would be an asset.

  • Proven work experience demonstrating above-average interpersonal and, both verbal and written, communications skills.

  • Demonstrates fair English language skills (oral, reading, writing).

  • Demonstrates constructive attitude, positive-thinking, effective problem solving, and ability to adapt with team members and stakeholders.

  • Self-starter with the ability to work independently and to deliver quality work on time.

  • Be organized, have the skills to work in a team and maintain good professional relations with other members of the staff and other stakeholders.

  • Good organization, time management and scheduling skills.

  • The ability to multitask.

  • Demonstrates understanding of tolerance and values diversity of cultural, gender, religion, race, nationality and age.


Scope of Work

Stop TB Partnership Indonesia

The Stop TB Partnership Indonesia (STPI) is a national platform of Stop TB Partnership. STPI provides a platform of inter-sectoral partnership that supports National Tuberculosis Program (NTP) since 2013. This organization consists of 75 national and international partners that collaborate to end TB in Indonesia. STPI operates under the strategic direction of a wide range of expertise, such as the Board of Trustees and Advisory Board, representing public health practitioners, academia, development partners, as well as public and private sector. 

We are looking to employ a dedicated Project Administration Assistant, who will assist in managing administration and general operation of AIDP project. The post provides assistance in the development and implementation especially in finance and admin department.

Duties

  • File the documents and organize workplaces.

  • Support in preparation of events such as project, meetings, webinars, etc.

  • Support in arranging and collecting the documents related to personnel travel, including Travel Advance, Travel Expenses, etc.

  • Manage records and receipts.

  • Prepare Minutes of Meeting as well as Logistic preparation if needed.

  • Manage and monitor stock of office consumables, stationery.

  • Review and check financial documents from program team.

  • Monitor completeness of procurement documents (Quotations, Purchase Requests, Purchase Order, Bidding Summary, etc.).

  • Coordinate with program and other teams for the implementation of the project related with finance and admin as required.

  • Receive and distribute incoming and outgoing mail of STPI.

  • Operate admin email and Google Drive.

  • Support the Admin and Finance Manager and executives as required.
